Bodia Travel ehf owns and manages the website www.northeuropetravel.com. All bookings made on this website are as if between you and Bodia Travel ehf. Bodia Travel ehf is a fully authorized travel agency licensed by the Icelandic Tourist Board.
INSURANCE
We advise all our clients to have a valid personal and health insurance while travelling. Your travelling insurance should cover your losses, expenses or accidents during your travel. Bodia Travel ehf/northeuropetravel.com cannot accept responsibility for any cost for you or any of your travel party that may incur during your travel. Please ensure that the insurance covers all your activities during your holiday.
GENERAL
All complaints must be sent formally to Bodia Travel ehf/northeuropetravel.com within 5 days from departure from Iceland. All complaints made after the 5th day of departure are considered as non-valid. For the safety of clients, Bodia Travel ehf/northeuropetravel.com and/or its service providers/reserve the right to alter/cancel tours and itineraries before the tour has started or during the tour due to changes in weather and/or road conditions. Such changes are made only under the circumstances Bodia Travel ehf/northeuropetravel.com and/or its service providers consider as necessary and for the safety of the clients. Bodia Travel ehf/northeuropetravel.com and/or its service providers shall be under no circumstances made responsible for the losses or expenses due to: delays, changes of flights, hotels, negligence, weather, damage, cancellation of any sort or any third-party obligation. Bodia Travel ehf/northeuropetravel.com is under no circumstances held responsible for the accidents or death that can be traced to the participant´s negligence, ignoring and/or not taking into account the advice of the guide or going beyond what is considered as secure for the clients and any circumstances such as weather, natural occurrences or similar causes.
In certain cases, service providers of Bodia Travel ehf/northeuropetravel.com may require you to sign an acceptance letter at the start of the tour stating that you recognize that certain activities have to be addressed in light of health/physical or general information on risks. If you do not sign such a document, that is aimed to take care of your own safety and/or inform you about the risk involved in the activity, you will not be allowed to take part in that activity or event that may make up of part of the planned or whole tour that you have bought through Bodia Travel ehf/northeuropetravel.com. Under the circumstances that you do not accept to sign the acceptance letter, you will not be able to request a refund for your purchase of a tour or any activity.
Once a booking is made, Bodia Travel ehf/northeuropetravel.com will as soon as possible or in three working days get back to you on your booking details. In the situation where such tours are full, Bodia Travel ehf/northeuropetravel.com will recommend you a new available time for your confirmation. We will reimburse your payment if you do not agree with the new recommended time.
EXCHANGE RATES, TAX, TARRIFS, FEES OR OTHER GOVERNMENTAL DUTIES
We reserve the right to make changes and/or adjustments of the prices already paid by you. Such changes might be due to un-foreseeable changes such as exchange rates, tax, tariffs, fees or other governmental duties that are beyond the control of Bodia Travel ehf/northeuropetravel.com. Any changes made by Bodia Travel ehf/northeuropetravel.com shall be made in good faith and made known to you.
VISAS TO ICELAND, GREENLAND AND FAROE ISLANDS
Bodia Travel ehf/northeuropetravel.com is in no way responsible or can assist in soliciting a visa to the above countries. We can however serve you in issuing a Letter of Invitation or Letter of Confirmation of a Package for an agreed amount once you have already bought a package from us. Cancellation policy applies if you are not able to obtain a visa or are not able to visit any of these countries.
CANCELLATION DAY TOURS AND MULTI DAY TOURS
The cost of refund reflects our costs and costs to our service providers.
Cost of refund and cancellation is subject to the following, calculated on the gross basis of the payments made. Any cancellation must be sent in writing to northeuropetravel@northeuropetravel.com and valid if re-confirmed by us.
An extra fee of 70EUR is applicable for Day Tours and Multi Day Tours if date change is requested and within reasonable timing.
SELF DRIVE PACKAGES
When buying our Self Drive Packages, you will accept the leasing of cars and accommodation from the providers and that you are obliged to the terms of usage and other conditions of the providers. Failing to show a valid driving license, credit card or be of minimum age required for driving the vehicle will have the same effect as if cancelled. Additional fees may also apply when not returning the car at the same time or same place as pickup (directly payable to the car rental). For your info, please consult our FAQ available under each Self Drive Packages. Our FAQ are terms and conditions that are applicable by our service providers and also form part of our Terms and Conditions.
Bodia Travel ehf/northeuropetravel.com reserves the right to make changes to itineraries due to the supply/demand of accommodation in certain places and due to the number of tourists in Iceland. Such changes will be informed to the customers as soon as possible. In the situation where we cannot deliver the same standard of accommodation for all nights throughout the whole trip, we will inform you as soon as possible and compliment you with an activity, entertainment or meal during your stay in Iceland.
CANCELLATION SELF DRIVE PACKAGES
Cancellation fees reflect our costs and the cost to our service providers such as hotels and car providers. Any cancellation must be sent in writing to northeuropetravel@northeuropetravel.com and valid if re-confirmed by us.
An extra fee of 145EUR is applicable for change of start date of Self Drive Packages and if requested within a reasonable timing and doable.
FLIGHTS AND PACKAGES (DOMESTIC ICELAND/TO AND FROM GREENLAND/TO AND FROM FAROE ISLANDS)
Additional fees may apply to cancellation of helicopter flights within Greenland. This will be charged according to the helicopter company.
FLIGHTS AND PACKAGES (USA TO/FROM ICELAND)
Due to Icelandair‘s policy, we are not able to offer any refunds or reimbursements for any flights and packages to and from the USA. We recommend that you get advice from your local insurance company for all costs that may arise due to cancellation when booking our package.
Passenger name and surname should be exactly same as that on the passport. Any inconsistency might result in extra costs set forth by Icelandair or not allowed on board the flight. Any costs arising from this are at your cost.
LIABILITY
Bodia Travel ehf/northeuropetravel.com is not any way responsible for any loss, damage, accident, sickness or changes in schedules resulting from causes beyond our control. Such causes and incidents include, but are not limited to labour disputes, acts of nature, or any other irregularity beyond our control. Bodia Travel ehf/northeuropetravel.com reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the travelers shall pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.). We strongly recommend all our customers to have travel insurance to cover such incidents.
GENERAL LIABILITY
Bodia Travel/northeuropetravel.com is not in any way responsible for injury, illness, death, loss (incl. loss of experience or enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following:
• The act(s) and/or omissions(s) of a third party not connected with the provision of the services and which were unforeseeable or unavoidable or
• Circumstances beyond our control as defined in Force Majeure
GOVERNING LAW
Any dispute or claim arising out of or in connection with this agreement shall be governed and construed by the laws of Iceland. Both parties irrevocably agree that the District Court of Reykjavik Iceland shall have jurisdiction to settle any dispute or claim that arises out of or in connection with this agreement or its subject matter (includes both contractual and non-contractual dispute and claim).
